Executive Assistant to Senior Management

Location - Corporate Headquarters

PHOENIX Rehabilitation and Health Services, Inc. provides outpatient rehabilitation services in over 60 offices across the Mid-Atlantic region.  Services are primarily Physical Therapy, Occupational Therapy and Occupational Medicine delivered in ambulatory settings to patients and employers.  PHOENIX has created a niche in the rehabilitation services industry focusing on both clinical care and customer care by hiring highly skilled clinicians, providing them autonomy to deliver high quality, on-time and one-on-one care.  PHOENIX enjoys substantial market share in our locations because of the focus on our patients.  The Company is poised for continued growth and we are looking for the right candidate to join our exceptional employees.

At this time, we are interviewing for an Executive Assistant to Senior Management. The focus of this specialized, technically oriented position is on meeting and exceeding high standards of accuracy and quality based on established systems, technologies and guidelines.  Strength in technical problem solving based on expertise and experience, and a strong commitment to efficiently achieve high quality results is required. A thoughtful, persevering, self-disciplined approach to achieving accurate, detailed work is essential.

Communication and Collaboration

- Must provide clear, direct, authoritative communication to others


- Directly organizes communications for the Senior Management Team.

- Provides support to Senior Management Team in organizing meetings, travel, accommodations and scheduling.

- Provides phone and logistical support to Senior Management Team.

- Handles schedules and tracks record retention for Senior Management Team and Corporately owned records.

- Provides reports on demand from any system within the company.

- Enters and maintains legacy dashboard information in Microsoft Access.

- Provides a conduit for all signatory paperwork, including leases, reimbursements, purchase orders, etc., that need signatures from Senior Management Team members.

- Manages business office keys & security alarm code.

- Communicates and coordinates with all personnel/departments on various projects.

- Coordinates professional staff orientations in business office to include scheduling, travel, and lunch.

- Coordinates business office facility management to include: building maintenance, HVAC maintenance, lawn care, snow removal, cleaning service, coffee and water solutions for lunch room.

- Assists with ad-hoc tasks as required by the Senior Management Team.

Candidates should possess:

- Minimum of 5 years of administrative experience required; 2-year degree preferred

- Proficiency with Microsoft Office Word, Excel, PowerPoint, and Access

- Excellent organization and communication skills, oral and written

- High energy and ability to work in a fast paced environment

- Effective interpersonal skills with the ability to interact with all levels of management
